Features Overview

Fully customizable
All Instant Team features can be customized, new features can be added and others, that are not used, removed. Customization capabilities include:
- customizable reports - including filtering, grouping, timelines, charts and timeline comparisons;
- customizable access rights - including the creation of new user roles, restricting access to specific fields and/or reports and access rights definitions based on data filters;
- customizable fields - including customizable picklists, calculated fields, aggregations, multivalue fields and fields linking two databases;
- customizable screens - including the creation of new tabs and restructuring of the existing tabs;
- customizable conditinal color formatting
- customizable databases - including the creation of new record types and their integration with existing records.
- customizable workflow - that means tasks automatically generated according to predefined rules
High user comfort regardless of connection speed
Instant Team is a native Windows and Linux application based on asynchronous communication with a server accessible over the Internet.
Because is is a native application, it offers comfort that you have over the years learned to expect from native applications, comfort that other Internet applications, based on HTML, don't deliver. That includes:
- browsing reports using the scrollbar instead of the obsure <Next> and <Prev> buttons,
- keyboard shortcuts,
- floating tooltips,
- inline editing values directly in reports,
- incremental text search,
- drag & drop,
- undo,
- printing to PDF or
- mass record editing.
And because all communication with the server happens asynchronously in the background, you don't have to spend timeless seconds and minutes waiting for the server. Data, that you need, are automatically downloaded to your computer in the background and they are kept there for repeat access and are automatically synchronized when updated.
Anytime/anywhere access
Instant Team is hosted on our servers and is available to you over the Internet 24 hours a day 7 days a week. Your data are not locked in your computer, quite the opposite. You can access them anytime from anywhere. When your computer crashes you don't have to worry about your project data since they are stored on secured servers that are backed up regularly. You don't have to worry about system upgrades and data migration, all is handled by us.
The system is optimized for communication over slow lines and you can thus enjoy its comfort in the office with a broadband connection as well as while traveling and connecting over your cell phone. You can access you project data anytime, without any limitations.
Unlimited number of users
Instant Team is a tool for all members of the project team.
Information sharing and project collaboration is not an additional
feature of the application but a central concept.
What's more, Instant Team is available on a per user licensing scheme as well as in an unlimited users licensing scheme. You thus don't have to solve the dilema whether to provide access to the application and its corresponding benefits to really all members of the project team and interested parties.
Don't limit yourself! Give all members of your team access to up-to-date information they need when and whereever they want it. The team will pay you back by pulling in the same direction.
Unlimited number of projects
Instant Team is designed to manage portfolio of projects. Projects can
be organized in a hierarchy and their number is not limited. What's
more, access rights for individual users can be different from project
to project.
High level of security
All communication with the server is protected by an industry standard 128-bit encryption. Passwords are not stored nor transmitted in their source form. Instead, the system works only with their digests calculated by a standard SHA-1 algorithm.
Share project documents
You can share documents, status meeting minutes, project deliverables and other documents within the project teams.
Task planning and tracking
Work breakdown structure is represented as a hierarchical tree of tasks. You can assign resources to individual tasks, estimate effort needed and planned start and end date. Dependencies between tasks can be entered in the form of predecessor-successor relations.
Plans can include tasks with recurring pattern.
Each user is presented with a set of reports to better understand user's role in the project and to see her/his current and planned tasks including a daily, weekly, monthly, quarterly and yearly calendar.
Project managegers have at their disposal tools for the project status tracking, task completion approval, manual or automatic project plan update and time based project progress analysis.
The system automatically checks for eventual conflicts in the plan, like overutilized resources, tasks starting sooner then their predecessors end etc.
It is also possible to use automatic resource leveling. In such case the system updates planned task start and end dates on its own according to planned end date of its predecessors, effort estimate and free capacity of the assigned resource.
Gantt chart
Actual project plan is available in the form of an easily
understandable Gantt chart that clearly shows the planned task start
and end, task dependencies and resource assignments.
Unread records highlighting
Instant Team highlights new and changed tasks, projects and other records by printing them in bold font. This highlighting applies to records that the user have never seen or were changed after the user saw them last time.
Users can also force or suppress the highlighting using the "Mark as unread/read" function.
This highlighting applies also to databases, reports and groups containing unread records what makes looking for unread records easier.
Users can be notified about new and changed records by email. This email automatically includes a record shortcut attachment. In response to opening the attachment, Instant Team is displayed and the user is brought to the specific record.
Record shortcut files can also be created by users via the "Save link as ..." function.
Statistics and analysis
Instant Team includes number of reports for project status analysis, planned resource usage, project progress, reported project work analysis etc.
These reports can be filtered by a number of parameters and are fully interactive. It is thus simple to go from summary information to detail during the analysis, to change the displayed time range, to view individual records, to sort by any displayed column, to search for text in the report or eventually to modify the displayed values. For example in the resource utilization report, it is possible to change directly task assignments.
Report time spent on tasks
Timesheets can be entered manually or recorder automatically thanks to the built-in stop-watch. Project managers can later approve the timesheets and analyze them.
Import from MS Project & more
Content of each report can be exported in the CSV format which is compatible with most applications, for example Microsoft Excel. Data can be also imported from the same format. Data export and import can also run unattended in batch mode. A predefined script for import from MS Project is included.
Windows & Mac OS X & Linux
Instant Team is platform independent. It is available for Windows, Mac OS X and Linux at the moment. Features, user interface and application
appearance is identical on both systems.

The system, including full documentation and support is available in both English and Czech.
